Spotlight on a Service: Getting graduation-ready with help from UniDesk Self-Service Portal.

Congratulations, you made it! 🎉

Whether you’ve completed your Undergraduate, Postgraduate Taught, or Postgraduate Research qualification — this is a huge achievement, and you should be incredibly proud. As you get ready to graduate and take your next steps, there are just a few important things to wrap up before you leave the University.

To make things as easy as possible, we’ve gathered everything Library and IT you need in one place — the UniDesk Self‑Service Portal Graduating soon tile. Think of it as your Library and IT graduation checklist, helping you stay on top of key tasks before your University access comes to an end.


🔐 What happens after graduation?

At the end of your studies, your access to the University network and systems will stop. However, there are a few services you can continue using after graduation — but due to GDPR requirements, you’ll need to opt in before your account closes.

That’s why taking action now is so important ✅


✅ Your Graduation Checklist (Before You Finish!)

Here are 7 actions we strongly recommend you complete before graduation:

1. 📧 Keep your University email (for 2 years!)

Want to stay connected and continue accessing your student inbox?
You can opt in for extended email access for up to 2 years after graduation. There should be a banner on your portal to allow you to opt-in to retain access to email, if this is not showing for you, or you just need some help doing this you can log a call with us. You can either log the call from the UniDesk Self-Service home page or email us on information.centre@stir.ac.uk


2. ☁️ Move your files from OneDrive

Your OneDrive storage will become inaccessible on the day after your graduation— so make sure to download or transfer any important documents you want to keep to your own cloud storage solution. You will also lose access to Microsoft365 apps shortly after graduation, but you can take out your own subscription. See options here.


3. 🖨️ Use or sell your print credit

Got leftover print/copy credit? Don’t let it go to waste!
You can use it up or sell it on — check the UniDesk for guidance on how to do this. Click here to access.


4. 📚 Keep your references (RefWorks or EndNote)

If you’ve been building up a library of references, make sure you preserve your work by exporting or switching your account before access ends. See our guides on UniDesk here,
RefWorks and Endnote.


5. 📖 Return library books (and clear fines)

Before you go:

  • Return any borrowed books 📚
  • Pay any outstanding fines 💳

This helps avoid any issues with your account — and keeps everything in good order for the next students.


6. 📝 Download your work from Canvas

Your coursework won’t be accessible after graduation, so now’s the time to save it.

To download your submissions:

  • Go to Account → Files
  • Click the three dots next to your Submissions folder
  • Select Download

7. 💼 Keep your LinkedIn Learning history

Link your UoS LinkedIn Learning account to your personal LinkedIn learning account to ensure that your learning history is retained. Whilst you will no longer be able to access LinkedIn Learning content for free after your University account is deleted, you will have the option to sign up for a paid LinkedIn Learning account with your entire learning history maintained. Information on how to connect your Learning account and personal profile can be found on LinkedIn’s Connecting your LinkedIn profile guide.

This is a great way to showcase your skills to future employers!
